Privacy Policy — FreshNews AI - AI Search SEO

This Privacy Policy describes how FreshNews AI LLC (“FreshNews AI LLC”, “we”, “us”, or “our”) processes personal data in connection with the FreshNews AI - AI Search SEO application (the “App”) for Shopify merchants. The App is offered under the FreshNews AI brand.

When you install and use the App, you are a merchant customer of FreshNews AI LLC. For data relating to your store's end-customers (shoppers), you are generally the data controller and FreshNews AI LLC acts as a data processor on your behalf, to the extent we process such data at your direction through the App.

1. Scope

This policy applies to the App only. It does not govern the main FreshNews AI website or other FreshNews AI products unless those services link to their own policies.

2. Data We Access From Your Shopify Store

With your permission through Shopify's authorization flow, the App accesses store data needed to audit and improve product content for AI search and answer engines. This includes:

  • Product catalog data — titles, descriptions, images, variants, collections, and product metafields
  • Shop and store information — store name, domain, and related shop metadata required to operate the App
  • Product webhooks — notifications when products are created or updated, so audits and content workflows stay current

The App may write generated content back to product fields and metafields when you review and apply changes through the App.

3. Data We Store

We store App-related records keyed to your shop (Shopify store identifier), including:

  • Content audit results and scoring
  • Generated content drafts and history of applied fixes
  • App settings, such as your brand profile and subscription plan
  • On Pro plans: monitored buyer queries and citation-check results

We do not use this data for advertising, and we do not sell personal data.

4. How We Use Data

We use the data described above to:

  • Run product content audits and surface improvement suggestions
  • Generate and apply product descriptions, FAQs, and schema markup
  • Operate Pro citation monitoring when enabled on your plan
  • Maintain your App settings, billing entitlements, and support
  • Improve App reliability, security, and functionality

5. Subprocessors and Third-Party Services

We share data with service providers only as needed to operate the App, under contractual obligations appropriate to their role:

  • Google (Gemini) and/or OpenAI — large language model providers that receive product catalog data (such as titles, descriptions, and related product context) to generate descriptions, FAQs, and structured schema content
  • Perplexity (Pro plans) — receives monitored buyer queries together with your brand and store domain to check whether your store is cited in AI-generated answers
  • Shopify — platform host, API provider, and billing processor for App subscriptions through Shopify Billing
  • Infrastructure and security vendors (such as hosting providers) that process data solely to deliver and protect the App

We require subprocessors to handle data consistent with this policy and applicable law.

6. End-Customer (Shopper) Data

The App is designed for product content optimization, not for collecting or profiling shopper personal information. We do not intentionally collect end-customer PII through the App for marketing or unrelated purposes.

If shopper-related data appears incidentally in store content you provide (for example, in product copy), we process it only to deliver the App features you enable.

7. Shopify Mandatory Compliance Webhooks

The App implements Shopify's mandatory compliance webhooks for data subject requests and app uninstall cleanup, including:

  • customers/data_request — to acknowledge and facilitate access requests forwarded by Shopify
  • customers/redact — to delete or redact customer-related App data when required
  • shop/redact — to delete shop-scoped App data after uninstall, as required by Shopify

Merchants may also contact us directly regarding data access or deletion requests related to the App (see Section 11).

8. Data Retention and Uninstall

  • Content written to native Shopify product fields remains in your Shopify store under your control after uninstall. That content is part of your store data, not App-only storage.
  • App-rendered schema, App-stored records, and shop-scoped operational data are removed when you uninstall the App, in line with Shopify's mandatory shop/redact webhook and our retention practices.
  • We may retain limited records where required by law, to resolve disputes, enforce agreements, or maintain security logs; such retention is minimized and time-bound where possible.

9. Security

We use administrative, technical, and organizational measures designed to protect data processed by the App, including access controls and encryption in transit. No method of transmission or storage is completely secure; we cannot guarantee absolute security.

10. Your Rights (GDPR, CCPA, and Similar Laws)

Depending on your location and role, you may have rights to access, correct, delete, restrict, or object to certain processing of personal data, and to data portability where applicable.

Merchants in the EEA, UK, or Switzerland: Where FreshNews AI LLC processes personal data on your behalf through the App, you remain the controller for your store's end-customer data; we act as processor. Contact us to exercise rights relating to data FreshNews AI LLC controls directly (such as your account or support correspondence).

California residents (CCPA/CPRA): We do not sell personal information. You may request access to or deletion of personal information we hold about you in connection with the App, subject to legal exceptions.

11. International Transfers

Data may be processed in the United States and other countries where we or our subprocessors operate. Where required, we use appropriate safeguards for cross-border transfers.

12. Changes to This Policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top will change when we do. Material changes may also be communicated through the App or by email where appropriate.
